Access Gates
Access gates are the configuration layer that connects physical door locks to Metrognome resources. When you create an access gate, you're telling the system "this lock device controls access to this studio or area." This guide covers managing access gates and monitoring lock status.
Understanding Access Gates
Think of access gates as the bridge between:
- Physical hardware — The actual lock on a door (Schlage, UniFi, or a manual keypad)
- Resources — The studios or areas that lock controls
When a customer books a studio, the system looks up which access gates are associated with that resource (or resource group), then programs their access code into those locks.
Finding Access Gates
Go to Staff → Access Gates to see all configured gates.
From the list you can:
- Search by name or device ID
- Filter by location, vendor type, or active status
- Click any row to view or edit that gate
The list shows:
| Column | What It Shows |
|---|---|
| MG ID | System identifier |
| Name | Descriptive name for the gate |
| Device ID | Hardware identifier from the lock vendor |
| Vendor | Lock type (Schlage, Ubiquiti, or Manual) |
| Location | Which facility this gate is in |
| Resource | The studio or area this gate controls access to |
| Status | Active or Inactive |
| Created | When the gate was configured |
| Updated | Last modification time |
Creating an Access Gate
Go to Staff → Access Gates and click Add.
Step 1: Basic Information
- Name — A clear, descriptive name (e.g., "Studio A - Main Door" or "Red Wing Entry")
- Vendor Type — The lock hardware type (see below)
- Device ID — The unique identifier from the lock vendor's system (for Schlage and UniFi)
- Access Code — For manual keypads only, the static code users enter
Step 2: Location and Scope
- Location — The facility where this lock is installed
- Scope Type — Choose between:
- Resource — This gate controls a single studio
- Resource Group — This gate controls an entire wing, floor, or section
- Resource/Resource Group — Select the specific studio or group
Important: Location, vendor type, device ID, and scope cannot be changed after creation. Double-check these before saving.
Vendor Types
| Vendor | Hardware | Use Case |
|---|---|---|
| Schlage | Schlage smart locks | Individual studio doors |
| Ubiquiti | UniFi access control | Main entries, common area doors |
| Manual | Standard keypad (non-smart) | Gates or doors without smart locks |
For Schlage and UniFi, you'll need the device ID from the vendor's management console. For manual gates, you set a static code that all customers use for that door.
Scope Types Explained
Resource scope — One lock for one studio. When someone books Studio A, their code is programmed into the Studio A door lock.
Resource Group scope — One lock for multiple resources. When someone books any studio in the Red Wing, their code is programmed into the Red Wing entry door. Use this for:
- Wing or floor entry doors
- Parking gates that serve multiple studios
- Building entries that all customers pass through
Editing an Access Gate
Open any gate to modify it. You can change:
- Name — Update the descriptive name
- Active status — Toggle whether the gate is in use
- Static access code — For manual gates only
These fields are locked after creation:
- Vendor type
- Device ID
- Location
- Scope type and scope
Hardware Placements
In edit mode, you can assign physical hardware kits to the access gate. This tracks which actual hardware unit is installed at this location.
- Scroll to Placements
- Click Assign Kit
- Select a kit from inventory
- The placement is recorded with a timestamp
To remove a placement, click the delete button on that row.
Monitoring Lock Status
For real-time status of physical lock devices, go to Staff → Lock Devices.
This page shows live data from the lock vendors:
| Column | What It Shows |
|---|---|
| Device Name | Name from the vendor system |
| Device ID | Hardware identifier |
| Vendor | Schlage or UniFi |
| Lock Status | Locked or Unlocked |
| Door | Open, Closed, or unknown |
| Battery | Battery percentage (for battery-powered locks) |
| Location | Mapped location if configured |
| Configured | Whether this device is set up in Metrognome |
Use the Refresh button to get the latest status. If a vendor fails to respond, you'll see a warning banner at the top.
Note: The Lock Devices page is read-only—it shows status only. To configure how locks connect to resources, use Access Gates.
Troubleshooting
Lock not responding to access codes
- Check Staff → Lock Devices to confirm the lock is online
- Verify the access gate is Active
- Confirm the device ID matches between the access gate and the lock device
- Check if the access code is programmed (see Access Codes guide)
Device shows "Not configured" in Lock Devices
The physical lock exists but isn't mapped to a resource. Create an access gate with that device ID to connect it.
Access gate shows wrong resource
Scope cannot be changed after creation. You'll need to delete the access gate and create a new one with the correct resource or resource group.
Deleting an Access Gate
- Open the access gate detail page
- Click Delete and confirm
Deleting an access gate removes the connection between the physical lock and the resource. The lock device itself remains—you'll see it as "Not configured" in Lock Devices.
