Assets

Assets are physical equipment—amplifiers, drums, microphones, cables, and other gear placed at Metrognome resources. The system tracks each item's full lifecycle from purchase through retirement, including where it's been placed over time.

Finding Assets

Go to Staff → Assets to see all equipment.

From the list you can:

  1. Search by name, manufacturer, model, or serial number
  2. Filter by category, status, condition, or assignment
  3. Click any row to view or edit that asset

The list shows:

Category Equipment type (Amplifier, Drums, etc.)
Manufacturer Brand name
Model Model number
Status Active, Maintenance, Retired, or Disposed
Condition New, Good, Fair, Needs Repair, or Retired
Assigned To Resource where it's currently placed
Price Purchase price
Serial Number Manufacturer serial

Creating an Asset

Go to Staff → Assets and click Add.

Basic Information

  • Name — Descriptive name (e.g., "Fender Twin Reverb #2")
  • Description — Optional details about the item
  • Category — Equipment type (see categories below)

Details

  • Manufacturer — Brand (Fender, Pearl, Shure, etc.)
  • Model — Model name/number
  • Subcategory — More specific type within category
  • Serial Number — Manufacturer's serial number

Purchase Information

  • Purchase Date — When acquired
  • Purchase Price — Cost in dollars
  • Vendor — Where purchased
  • Order Number — Vendor's order reference

Warranty

  • Warranty Expiration — When warranty ends
  • Warranty Notes — Coverage details or claim information

Status

  • Condition — Current physical state
  • Status — Lifecycle stage
  • Consumable — Check if this is a consumable item (cables, strings, etc.)

Asset Categories

Asset Status

Status Meaning
Active In use and available
Maintenance Currently being repaired or serviced
Retired No longer in active use but kept
Disposed Discarded, sold, or otherwise gone

Asset Condition

Condition Meaning
New Brand new, never used
Good Works well, minor cosmetic wear
Fair Functional but shows significant wear
Needs Repair Has issues requiring maintenance
Retired No longer functional

Placing Assets at Resources

Assets need to be "placed" at a resource to track where they are. A placement records which asset is at which location.

To place an asset:

  1. Open the asset's detail page
  2. Scroll to Placements
  3. Click Add Placement
  4. Select the resource (or resource group)
  5. Confirm the placement

The system automatically assigns a slot code (e.g., "AMP-1" for the first amplifier at that resource).

To end a placement:

  1. Open the asset's detail page
  2. Find the placement in the list
  3. Click the remove button
  4. Confirm removal

Ending a placement doesn't delete the history—you can see everywhere an asset has been over time.

Component Installations

Some assets can be installed into other assets. For example, a pickup installed into a bass guitar, or a specific drum head on a tom.

To install a component:

  1. Open the host asset's detail page (e.g., the bass guitar)
  2. Scroll to Components
  3. Click Add Component
  4. Select the component asset
  5. Choose the installation role (e.g., "Bridge Pickup")

To remove a component:

  1. Open the host asset's detail page
  2. Find the component in the list
  3. Click remove
  4. Confirm removal

Component history is preserved for maintenance tracking.

Access Gate Kits

Assets with category Access Gate Kit are special—they represent the physical hardware for door locks. These can be assigned to access gates.

To assign a kit to an access gate:

  1. Open the access gate's detail page (Staff → Access Gates)
  2. Scroll to Placements
  3. Click Assign Kit
  4. Select the kit asset

This tracks which physical lock hardware is installed at which door.

Editing an Asset

Open any asset to modify it. All fields can be changed except the MG ID (system-generated).

Common edits:

  • Update condition after inspection
  • Change status when sending for repair or retiring
  • Add warranty notes after a claim
  • Update placement when moving equipment

Deleting an Asset

  1. Open the asset detail page
  2. Click Delete and confirm

Deletion is soft—the record is preserved but hidden. This maintains placement history and audit trails.

Inventory Best Practices

Regular audits

  • Verify assets are where the system says they are
  • Update conditions after inspections
  • Mark items needing repair as "Needs Repair" status

Tracking consumables

  • Mark cables, strings, and other expendables as "Consumable"
  • Replace and track as needed
  • Dispose when worn out

Warranty tracking

  • Enter warranty expiration dates
  • Set calendar reminders before expiration
  • Document claims in warranty notes

Equipment moves

  • Always end the old placement before creating a new one
  • This maintains accurate history
  • Helps trace equipment issues to specific locations/times
